Things we learned while renewing our passports. (Plus, where to get cheap passport photos in Ottawa)

Posted by andrea tomkins in: Ottawa|travel talk

I’m heading to BlogHer 2012 in NYC in August. I bought my ticket last year and have been waffling about my attendance for many months. It was only a couple weeks ago that a decision was made. It’s official. I’m going, and bringing the family with me.

During the day, I’ll be in sessions about content development, marketing, and branding while they explore the city and do all kinds of fun stuff. I’m happy they are coming with me, but sad I won’t be able to join them on their adventures. At this point I don’t know if we’ll ever be able to swing another visit. It’s just so expensive to stay there. Boo.

Anyway, one big thing that’s been on my to-do list is to get all of our passports renewed.

First thing: the photos. Did you know you’re not allowed to smile in Canadian passport photos anymore? Your expression must be totally neutral. That means that our photos ended up looking like mugshots.

All they’re missing is black horizontal bars in the background:

passport photos

You can’t wear reflective glasses or funny hats either! Darn.

Anyway, I am getting ahead of myself. I didn’t want to pay through the nose so I asked Twitter and called around to see where we can get the cheapest passport photos in Ottawa. You might be surprised at what I found out:

  • Black’s passport photo price is $24.85 including tax (although according to the website they offer a 25% discount for families of three or more)
  • Costco: $7.90 (!)
  • Shopper’s Drug Mart: $11.99
  • Loblaws/Real Canadian Superstore (which is where we ended up): $9.99
  • Walmart: Ugh. Don’t go to Walmart.

(This pricing is accurate as of July 2012.)

The Superstore did a good job and I was happy with the experience. No appointment is necessary, but I do recommend you check their hours before you go. (Photo studio hours are not the same as the store.) We were in and out really quickly and it was relatively painless.

Next: the forms.

Mark filled out our passport forms online and printed them out. I wanted to go to the passport office in person. If you do that the processing time is only 10 days as opposed to 20 days if you submit the application by mail.

So I brought our bundle o’ forms to the passport office on Meadowlands (Ottawa locations are all listed here) yesterday, only to find that I didn’t have Mark’s ID with me and he forgot to sign the girl’s applications.

Seems they need to be signed by both parents! Ha ha!

CUE. THE. RAGE.

TIP #1:

  • Carefully read every single line on every single page of the passport application and double-check to make sure you have every piece of ID you require.

TIP #2:

  • If someone else (like your spouse) is filling out the form, carefully read every single line on every single page of the passport application and triple-check to make sure you have every piece of ID you require BEFORE YOU LEAVE THE HOUSE.

So Sarah and I went back there today for a second visit. It wasn’t so bad. The lady who was helping us was very nice. She even found a couple of OTHER ERRORS in the forms that, ahem, Mark filled out, and figured out a way around them so I wouldn’t have to return for a third time. We were only there for about an hour total.

Anyway, as of next year this process might look a bit different, well, the passports will be different anyway. Canada will be issuing ePassports in 2013 and they’ll be good for ten years. You can read more about them here.

I will be in NYC during BlogHer with DD – does you DH want to adopt her so I can go ;) Just kidding! I have discovered a few places to stay in NYC that aren’t super expensive (the trick is to not stay on the Island really) and just stumbled onto airbnb which a friend has used in NYC, Paris & Montréal & really liked. Might be worth looking into!

visit the passport office in place du portage (gatineau) for super short (often non-existent) lines!

I had my photo taken at WalMart (I RAN OUT OF TIME!) and it came out awful. Dark, shiny, just awful.. I’m surprised it was accepted by Passport Canada!

If you have a plus membership at CAA, the pictures are free. Can’t remember what the discounted price was for the kids (8 or 9 dollars I think).

Another top: Colour photos have a higher rejection rate than black and white photos. Black and white can pretty much only be too dark or too light, but colour can be too blue, too red, too yellow, etc. They also tend to wash out more.

Also, the mandatory background is white so for best contrast (required for acceptance) wear a dark coloured shirt. Don’t wear white!

Great post Andrea, and not just cause I am needing to renew mine but cause it reads a little like an adventure story, and thanks for the tips!

Also important to note that not only can you not smile in the passport photo, but your mouth has to be completely closed. Was at the Passport Office and had to go back and redo my photo at Loblaws.

Yes on both parents! do you know that they do that now because of kidnapping issues? ie one parent applied for passport for child and then leaves the country without other parent knowing…
We are dual citizens and the living in Canada version is now so much easier than when I had to do it abroad. However, my Swiss passport now needs to be done in PERSON in Toronto including my kids because of the darn biometric passport requirements of the US. Can you imagine having myself and my two kids fly or drive to Toronto to renew our passports – appointment required and kids passports run out after 3 years, adult passports last 10 years. In addition to the travel cost the biometric/e passport costs are higher than the old passport was. And no, I can’t get it renewed in Montreal as my region belongs to the TO consulate – frustrating!

We might have been sitting close by in the Meadowlands office yesterday!

We have done many passport photos over the years and with kids and the best place has been Costco in our experience.

Yes, be sure to read over everything and yes, the other parent has to sign if you are applying for your child.

Also, you cannot wear a plain white shirt for the picture.

It’s also good to know the requirements – it’s on the application – and don’t be afraid to question the photos if you don’t think they look right. A lot of places have part time teenagers doing the photos and they aren’t necessarily properly trained or invested in meeting the requirements. Don’t be shy about asking for a ruler to measure the head size or otherwise double checking them against the requirements. Beats going back again later!

@JM yes the closed mouth is tricky with the kids, you need to watch for that!

Glad your experience went relatively smoothly. As I mentioned on FB, they were really picky with our kids applications and it ended up taking several months because we had to order the long form birth certificates for them, for no reason other than they decided to ask for them. I don’t know if it’s because their dad and I have different last names (not that unusual, surely? and they have both our names) or what, we were simply told they chose to ask for further documentation. We also had to do a letter of some kind, and I think there was something else… Ended up being 3 or 4 trips over several months, plus the added expense of the long form birth certificates.

If you think there’s any chance you’re going to be travelling out of country with your kids, like if you have family in another country for example, it’s probably a good idea just to get them done and not wait for when you NEED them!

Yikes, Maranda’s comment is freaking me out. Just found out all five of us will need passports for the fall and we all have different last names. Our passports expired years ago and the kids have never had one. Sigh, guess what just jumped to the top of the vacation to-do list?

Dani, probably better to get it out of the way now just in case. I was glad we started well in advance b/c we still ended up cutting it close.

FYI, the most convenient place to get them done is in the same building as Passport Canada. There’s a Sooters and they charge 14.99. They do them right and it took like 3 mins.
Save the gas and hassle and show up with your forms filled out. My daughter’s photo from Costco was rejected and they make you wait a long time to get you to buy other stuff!! It was a pain and a waste of time!
